  1. Discovery call (20 mins). We look at your current platform, user count, custom fields and live integrations.
  2. Data audit. Every field that needs to migrate is identified. Custom fields, archived records, integration tokens — all mapped before we touch the live data.
  3. Sandbox import. A full import in a test environment of Shortlists. You log in and stress-test.
  4. Verification. You check candidate count, key fields, the last 50 placements, your most-used custom field, email threads on the right records. We give you a checklist.
  5. Schedule cutover. Usually a Friday night.
  6. Overnight migration. Your data moves while you sleep. Under 4 hours of user-facing downtime.
  7. 7-day parallel monitoring. Old platform stays live (read-only) as a safety net.

Common questions

Is the migration actually free?

Yes. White-glove migration is included in the standard subscription with no separate migration fee. We do the data export from your current platform, field mapping, import, validation, and cutover. No partner fees, no per-record charges, no setup fees.

Can I switch while still in my Bullhorn or Vincere annual contract?

Yes. Our contract bridge offer charges £40 per user per month for the first 6 months so you don't pay full price for both platforms during the overlap. Once your old contract ends, you move to our standard £52 per user per month.

How long does the migration take?

Most migrations take 2-3 weeks end-to-end: 1 week of discovery and field mapping, 1 week of sandbox testing and validation, then an overnight cutover on a Friday. Total user-facing downtime is usually under 4 hours.

Will I lose candidate data?

No. We map every field before we touch the live data, run a full sandbox import for you to validate, and keep your old platform live for 7 days after cutover as a safety net.

What about my email history, notes, and tasks?

All migrated. The fields that sometimes trip up migrations — custom fields, file attachments, email threads, integration connections — are flagged in the audit step and resolved before cutover, not after.

What happens if something goes wrong?

During the 7-day parallel monitoring window, your old platform stays live. If anything's missing or broken, we fix it before the safety net comes down. We've completed migrations from Bullhorn, Vincere, Firefish, Loxo and Atlas without material data loss.
